How WedHues collects, uses, stores, protects, shares, and retains client, guest, enquiry, wedding, image, video, and website data.

This Privacy Policy explains how RaySeven Productions PVT LTD, operating the brand WedHues, collects and processes personal data through our website, enquiry forms, WhatsApp, phone calls, emails, social media, booking conversations, wedding coverage, editing workflows, galleries, album design, payment records, and client support.

1. Data we collect

We may collect names, phone numbers, email addresses, wedding dates, venue/city details, addresses, family/coordinator contact details, budget range, service preferences, messages, payment references, invoice data, booking documents, WhatsApp/email communication, images, videos, audio captured during events, gallery/download activity, website analytics data, device/browser data, cookies, social-media interactions, and information needed to plan, shoot, edit, deliver, archive, or support a wedding project.

2. Wedding media and family data

Wedding coverage naturally captures couples, families, guests, children, rituals, décor, venues, private family moments, voices, and visual identifiers. The booking Client confirms that they have authority to coordinate event coverage and will inform us in writing before the event about any person, ritual, location, privacy restriction, celebrity/high-profile attendee, protected child-related concern, or sensitive moment that should not be photographed, filmed, published, or delivered in a particular way.

3. Why we use data

We use data to respond to enquiries, check availability, prepare quotations, confirm bookings, plan event coverage, communicate with families/vendors, provide photography and cinematography services, edit and deliver files, design albums, process payments, maintain accounts, handle grievances, comply with law, protect our rights, prevent misuse, improve our website, show relevant content, and manage portfolio/marketing usage where permitted.

4. Consent and lawful use

By submitting information, contacting us, booking services, paying a retainer, participating in planned coverage, accepting deliverables, or approving portfolio usage, you allow us to process relevant data for the stated purposes. You may withdraw consent for optional marketing or optional portfolio usage, but withdrawal may not affect processing required for confirmed services, legal records, payment compliance, dispute handling, backups, or rights protection.

5. Sharing with authorised parties

We may share data with authorised photographers, cinematographers, editors, second shooters, album designers, album printers, courier partners, cloud-storage providers, CRM/email/WhatsApp tools, payment gateways, website hosting providers, analytics tools, legal/accounting advisors, insurers, government authorities, or dispute-resolution bodies where needed for service fulfilment, security, compliance, or legal protection. We do not sell wedding images or personal data as a data broker.

6. Portfolio and marketing use

Images/videos are used for website, Instagram, YouTube, awards, samples, ads, brochures, or portfolio only according to the Client’s selected release/consent status or written approval. Private/non-publication bookings must be agreed before booking confirmation. Vendors such as venues, planners, makeup artists, designers, or decorators must not use our work unless the Client and Company permit it.

7. Cookies and analytics

Our website may use essential cookies, analytics, embedded media, maps, social media embeds, advertising pixels, or performance tools. Cookie details are explained in our Cookie Policy. Browser settings may allow you to block cookies, but some website functions may not work properly.

8. Retention

We keep enquiry data, booking data, invoices, communication records, galleries, edited files, raw files, project files, and backups only for as long as needed for service delivery, business records, legal compliance, dispute protection, portfolio rights, client support, and operational archives. Unless a separate archive plan is purchased, we do not promise indefinite storage of raw files, galleries, project files, or final deliverables.

9. Security

We use reasonable technical and organisational safeguards such as limited access, password-protected accounts, controlled editing workflows, backup practices, secure devices where practical, and trusted service providers. No digital storage, transfer, gallery, WhatsApp communication, email, or cloud platform is 100% risk-free, and clients should download and preserve their delivered files promptly.

10. Client rights and requests

You may request access, correction, update, deletion, withdrawal of optional consent, or grievance support by contacting us. Requests may be refused, delayed, limited, or documented where retention is required for service completion, invoices, legal claims, contractual records, backups, fraud prevention, portfolio records, or compliance obligations.

11. Children and guests

Children and guests may appear incidentally or intentionally in wedding coverage. The booking Client must notify us in writing about any publication restriction involving minors or vulnerable guests. Public use of child images will be handled carefully and according to client release status and applicable law.

12. Breach response

If we become aware of a personal-data breach that materially affects relevant client data, we will take reasonable steps to contain the issue, assess impact, notify relevant parties or authorities where required by applicable law, and improve safeguards as needed.
