This policy applies to all enquiries, bookings, retainers, advances, event confirmations, wedding coverage, pre-wedding shoots, albums, films, destination assignments, and related services provided by RaySeven Productions PVT LTD under the WedHues brand.
1. Booking retainer is for date reservation
The booking retainer/advance is charged to reserve the event date, block team availability, decline competing enquiries, begin planning, allocate resources, and perform administrative work. It is not merely a refundable deposit. Unless we expressly agree otherwise in writing or applicable law requires otherwise, booking retainers are non-refundable once the booking is confirmed.
2. Client cancellation
If the Client cancels after confirmation, the Company may retain the retainer and any amount corresponding to work already done, calendar blocking, planning, travel bookings, vendor commitments, editing work, administrative time, third-party costs, and opportunity loss. Any discretionary credit or refund must be approved in writing by the Company.
3. Suggested cancellation treatment
| Timing | Company position |
|---|---|
| 90+ days before the first event | Retainer normally remains non-refundable; partial future-service credit may be considered at Company discretion. |
| 30–89 days before the first event | Retainer and committed costs are normally retained; any new booking requires fresh availability and pricing. |
| Less than 30 days before the first event | No refund is normally provided because team, travel, and opportunity cost are already committed. |
| On or after event date / no-show / access denial | Booking is treated as attempted or performed to the extent possible; full or substantial payment may remain payable. |
4. Rescheduling
One date movement may be considered if requested early and if our team is available. Rescheduling is not guaranteed. New dates may require price revision, additional travel/stay cost, fresh team allocation, vendor charges, overtime, or a rescheduling fee. If we are unavailable on the new date, we may offer an associate team, credit, alternate deliverable, partial refund of unused non-committed amounts, or another commercially reasonable solution at our discretion.
5. Scope reduction
Reducing event days, hours, team size, deliverables, album count, video length, or service scope after booking does not automatically reduce the price because the original date, team, and production capacity may already have been reserved. Any revised quote must be approved by the Company in writing.
6. Force majeure and unavoidable events
If an event is postponed due to weather, illness, death, legal restriction, government order, riot, strike, natural disaster, venue closure, travel disruption, epidemic, road blockage, or another force-majeure event, we will try to support a new date subject to availability. Costs already incurred, third-party charges, travel/stay losses, team blocking costs, and price differences remain payable by the Client unless we agree otherwise.
7. Company-side cancellation
If the Company is unable to perform due to serious illness, accident, force majeure, safety issue, or unavoidable operational emergency, we may appoint a suitable replacement/associate team, reschedule where possible, deliver partial work already completed, or refund only the unused amount received for the affected service. We are not liable for indirect, emotional, reputational, or consequential losses.
8. Refund processing
Any approved refund will be processed to the original payment method or another verified method within a commercially reasonable timeline after written approval, reconciliation, and deduction of applicable charges, taxes, bank/payment gateway fees, third-party costs, and work already performed.
9. Priority of signed agreement
If a signed booking agreement gives a specific cancellation or refund schedule, that written schedule will apply to that booking. This policy supplements the signed agreement and protects the Company where the agreement is silent.
